Privacy Policy

This policy describes how KITEJOBS PRIVATE LIMITED(CIN U62013TN2026PTC193396), the Data Fiduciary operating Kite, collects and processes your personal data.
What we collect
- Your email address, and — if you choose “Continue with Google” — your name and profile photo, used to create and identify your account.
- Your resume and the parsed contents (name, contact details, work history, education, skills).
- Your onboarding answers — work authorization status, salary expectation, target roles, and optional voluntary self-identification fields (EEO).
- The job URLs you submit, our internal scoring of those jobs, and records of completed applications.
- Standard application logs (timestamps, IP for security, browser user-agent).
Why we collect it
To deliver the service: scoring jobs, generating tailored application material, and submitting applications to supported third-party hiring platforms after you approve each job. Optional self-identification (EEO) fields are submitted to a hiring platform's form only when that platform asks for them and only using the values you provided.
How it's stored
- Primary data store: a managed PostgreSQL database with per-user access controls enforced at the database layer.
- File storage (resumes, generated documents, screenshots): a managed object store, scoped per user.
- Sensitive credentials you optionally provide (e.g., application-related passwords or one-time-code mailbox tokens) are encrypted at rest using industry-standard authenticated encryption before they are written.
Email relay (optional)
You may optionally enable a per-profile email alias so applications can be submitted without exposing your personal address. This feature is off by default and is enabled only with your separate, withdrawable consent in Settings.
- When enabled, email sent to your alias is processed to (a) detect verification codes or links so an application can be completed automatically, and (b) surface recruiter and employer messages in your in-app inbox and forward them to your real inbox.
- We store only the sender, the subject, a short snippet (no more than 300 characters), and any extracted code or link — never the full message body or attachments. These records are retained for up to 30 days.
- Processing is carried out via an inbound email processing provider (US-based); outbound forwarding uses our transactional email provider. You can withdraw consent and disable the alias at any time in Settings.
Third parties (sub-processors)
Kite relies on a small set of sub-processors, grouped by function:
- Cloud hosting and database (US-based).
- Transactional email delivery (for magic-link sign-in and account notices).
- Large language model (LLM) inference for resume parsing and form-question answering.
- Anti-abuse / human-verification services used by certain destination hiring platforms.
- Payment processing (only when paid billing is active — not in the current free closed beta).
A current named list of sub-processors, the country in which each operates, and the categories of data shared with each is available on request from the Grievance Officer (below).
We do not sell your personal data. We do not share your personal data with employers or hiring platforms beyond what you have explicitly approved for a given job submission.
Cross-border processing
Some of our sub-processors operate outside India. By using the service you consent to your personal data being transferred to and processed by those sub-processors, subject to the safeguards described above and the contractual terms we have with each. A current list naming each sub-processor and its operating jurisdiction is available on request from the Grievance Officer.
Your rights
- Access & export of your data: email privacy@kitejobs.ai.
- Correction: most fields are user-editable in your account; for anything else, contact us.
- Deletion: delete your account yourself from Settings → Danger zone — this immediately and permanently erases your resume, profile, application history, saved answers, and stored credentials. You can also email privacy@kitejobs.ai with the subject “Delete my account” and we will purge your data within 30 days of receipt.
- Withhold optional EEO self-identification: optional at onboarding; you can change this at any time. When EEO is not provided and a destination platform requires an answer, Kite selects “Decline to self-identify” or the equivalent.
- Withdraw consent: you can stop using the service at any time; account deletion removes your data within the timelines below.
Retention
Application records (submission proofs and status) are retained for 24 months by default to support your reference and dispute resolution. You can delete individual records from the Applications page at any time. On account deletion, your personal data is purged within 30 days, except where law requires longer retention (e.g., tax records for invoices once paid billing is active).
